Do my staff need accounts?
No. Each person gets a personal link. If you switch on the Employee Portal, they can also sign in with their work email to read policies and see what's waiting for them.
Do you send emails for us?
Yes, if you like. Requests, copies of what people accepted and terms update emails go out in your company's name and colours, with replies coming to you. Or copy the link and send it from your own inbox.
Do I need a card for the Business trial?
Yes. You give card details when you start, and nothing is taken for 30 days. We email you a week before the first payment, and you can cancel any time before it from Settings → Plan. Prefer not to? Start on Free and move to Business whenever you’re ready.
What happens if I cancel?
Cancelling the subscription runs to the end of the paid period, then the account moves to Free. Nothing is deleted. Closing the account altogether stops its portals, links and clickwrap; we keep everything for 60 days in case you change your mind, then delete it.
What is a proof of record?
A PDF made when someone accepts: what they agreed to, the version, the time, where they were and what they used. We sign it digitally and store it so it can't be changed or deleted for seven years. Anyone with the file or its reference can check it on our verify page, which never shows who accepted.
What does Enterprise add?
Stronger evidence and closer help. Every proof of record carries a qualified electronic timestamp from an independent EU trust service provider, so the time of each acceptance is certified by a third party rather than by our own clock. Proofs open with a green tick in Adobe Acrobat, stay verifiable for the long term, and come as signed JSON for your own systems. Features marked early access are set up with you as part of onboarding.Email us to talk it through.
Why is it free for law firms?
Companies get better documents when their solicitors can review them where they're written, and firms get clients who arrive with their policies already in order. Law firms also get everything in Business for their own documents.
Can law firms take commission under their professional rules?
Each firm checks its own position. In England and Wales the SRA Code of Conduct lets solicitors receive referral commission when the client is told about it and the firm accounts for it unless the client agrees otherwise. We show the arrangement to the client before they join.
Will this get us through ISO 27001 or SOC 2?
It covers document control (ISO 27001 clause 7.5) and the evidence auditors ask for about policies. It isn't a whole compliance programme.
Can I bring my existing documents?
Yes. Import a folder of Word or Markdown files, archived versions included, and keep their numbering. PDFs can be kept as they are, or turned into editable text.
Where is our data stored?
In London. Policy Controls is built and run in the UK by Armillary Ltd, registered in England and Wales, under UK GDPR. Your documents, acceptances and proofs of record are stored in Google Cloud's London region, and the AI features run there too. A few services sit outside it: email goes through Mailgun's EU region, payments through Stripe, and the logo and colours lookup at sign-up through Firecrawl.
Can I run more than one company?
Yes. One sign-in, a company switcher, and separate branding for each company.
